This website is run by VAP Trade Limited, a private limited company registered in England and Wales (company number 17238475). Our registered office is Unit 1b, Woodview Farm, Ashby Road, Stapleton, Leicester, England, LE9 8JD.

The information we collect
When you contact us
If you use our enquiry form or email us, we collect the details you give us: your name, company name, whether you are a buyer or supplier, email address, country, product category and details of your requirement. We also keep a record of our correspondence with you.
When we work with you
If we act for you or for a business you deal with, we keep the business contact details of the people involved, together with records of introductions, quotes, orders and invoices.
When you visit the website
Our web host automatically records standard server logs, such as your IP address, browser type and the pages you request. These are used only to keep the website secure and working. The website loads fonts from Google Fonts and icons from cdnjs (Cloudflare), so your browser shares your IP address with those services when a page loads.
We do not use analytics or advertising tools, and we do not set cookies.
How we use your information, and our legal basis
- To reply to your enquiry and discuss whether we can help. Our legal basis is our legitimate interest in responding to business enquiries, or taking steps at your request before entering into a contract.
- To provide our agency services, including introducing buyers and suppliers and coordinating samples, quotes and orders. Our legal basis is performing our contract with you or with your employer.
- To keep business and accounting records as required by law. Our legal basis is compliance with a legal obligation.
- To keep the website secure. Our legal basis is our legitimate interest in protecting our systems.
We do not send marketing emails, and we never sell your information.
Who we share it with
- Suppliers or buyers, but only as needed to make an introduction or progress an order you have asked us to help with. We will tell you before we pass on your details.
- Our service providers, such as our web hosting and email providers, who process data on our behalf.
- Professional advisers, such as our accountants and solicitors.
- Authorities, where the law requires it.
International transfers
Some of the mills and factories we work with are outside the UK. If you ask us to source from, or introduce you to, an overseas business, we will share the business details needed for that introduction with them. We only do this with your agreement, because it is necessary for the service you have asked for.
How long we keep it
- Enquiries that do not lead to any business: 12 months from our last contact.
- Records of introductions, orders, fees and invoices: six years from the end of the financial year they relate to, as required for tax and accounting purposes.
- Server logs: kept by our host for a short period, usually no more than 90 days.
Your rights
Under UK data protection law, you have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. To use any of these rights, email info@vap-trade.com. We will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it was last changed.
